Vendor Guidelines

We are so looking forward to hosting you in our space and working with you!

We take great pride in going above and beyond in the way that we serve our clients. We are so appreciative of you and the way that you make our clients' day go so smoothly!

Emerson Venue requires all vendors to follow the guidelines listed below when providing services or delivering food/supplies/equipment for an event.

General Rules for ALL vendors:

  • All vendors must complete set up and tear down within the contracted time. Please DO NOT arrive before the client's contracted time to set up.

  • No nails, tacks, glue, or staples may be used on any surface. Damage free Command hooks are permitted.

  • Please break down all boxes before placing them in the dumpster.

  • After unloading, please move your vehicles and park in the back of the parking lot, leaving front parking spots open for guests.

  • Please DO NOT park alongside the Venue next to the windows in the reception hall.

  • Please DO NOT drive on the grass around the venue unless approved by Emerson prior to the event date.

  • Please DO NOT leave any vehicles onsite overnight.

  • Emerson Venue is NOT responsible or liable for any items left behind.

Prohibited Items:

  • We require all candles to be in a hurricane vessel/cylinder. Any candles not in a hurricane vessel or cylinder CANNOT be lit.

  • No nails, tacks, glue, or staples may be used on any surface.

  • No glitter, confetti, silly string, or beach balls.

  • No colored rose petals on white stained concrete are allowed.

  • No duct tape may be used on any surface. Only washi or gaffing tape is permitted.

  • Please make sure all vendors are familiar with their specific guidelines.

    Please DO NOT arrive before the client's contracted time to set up.

    There are closets located around the venue that you may store extra boxes or storages bins in.

    After unloading, please move your vehicles and park in the back of the parking lot, leaving front parking spots open for guests.

    Please DO NOT park alongside the Venue next to the windows in the reception hall.

    Please do not use duct tape on the chapel stage. Washi tape is permitted.

    Prohibited Items: No glitter, confetti, silly string, or beach balls. No colored rose petals on white stained concrete are allowed.

    All decorations, linens, and equipment brought into the venue must be removed by the end of the contracted time.

    We do have a Venue employee on - site day of. She is there to serve you with any venue related questions you may have (extension cords, adjusting AC/heat, extra table, WIFI password, etc.)

  • Please DO NOT arrive before the client's contracted time to set up.

    We offer one table in our hair & make up space. IF you believe that you may need additional tabletops, you are welcome to bring your own or request one prior to the contracted wedding date.

    For all hot tools, please bring heat safe pads to protect our tables

    After unloading, please move your vehicles and park ino the back of the parking lot, leaving front parking spots open for guests.

    Please DO NOT park alongside the Venue next to the windows in the reception hall

  • Please allot enough time to complete all work by a minimum of thirty (30) minutes before ceremony time.

    Please DO NOT arrive before the client's contracted time to set up.

    After unloading, please DO NOT park alongside the Venue next to the windows in the reception hall.

    Ladders are available upon request.

    Please leave the area clean once an installment or task is finished. All floral scraps must be swept up and discarded. Brooms are available for your use if needed.

  • After unloading equipment, please move your vehicles and park in the back of the parking lot, leaving front parking spots open for guests.

    Please DO NOT arrive before the client's contracted time to set up.

    Please DO NOT park alongside the Venue next to the windows in the reception hall.

    Please do not use duct tape to secure cords to the floor. Only gaffing tape is permitted.

    Please respect the privacy and property of our neighbors by not trespassing onto their land or pelting their horses.

    Please do not leave camera bags/cases around the venue, you are welcome to store them upstairs!

  • Please bring your own table! We also do not provide any linens.

    Musicians are responsible for setting up, maintaining, and breaking down their equipment. The Venue does NOT provide any speakers or sound equipment. Extra extension cords are available upon request, but we highly recommend bringing your own.

    Emerson Venue does not provide any linens.

    All outdoor music must end by 10:00 PM on weeknights and 11:00 PM on weekends to comply with sound ordinances.

    Volume should be maintained at a reasonable level. Emerson staff reserves the right to ask the DJ/ musician to turn down the music and or bass.

  • Caterers are responsible for setting up, maintaining, and cleaning up all food items and service areas.

    Please DO NOT arrive before the client's contracted time to set up.

    All catering companies/services must be insured.

    Vendors handling food and alcohol must do so in compliance with the regulations of the TABC.

    Please DO NOT park alongside the Venue next to the windows in the reception hall.

    The Emerson DOES NOT provide an ice machine, hot box, cooler or slove top. Refrigerator space is limited. Please plan accordingly.

    Our Catering Shed is a prep space only. No cooking, deep fat frying, or grilling can be done inside the Catering Shed or Venue/Reception Hall. Outside cooking may be done in specified areas only, and with prior Emerson Venue approval.

    Caterers must provide servers for buffets.

    Caterers must bus tables of food and drink and put trash into provided trash bags and cans.

    Caterer should remove all unused food and drink from the premises. Bagged trash shall be placed in the dumpster provided.

  • Submit a copy of the bartender's TABC Certificate to The Emerson.

    Emerson does not provide ice or coolers.

    Underage drinking is strictly prohibited.

    Under no circumstances will alcoholic beverages be served to persons under the age of twenty - one (21) at any time.

    No alcoholic beverages may be provided to intoxicated persons.

    No shots are allowed.

    The bar or beverage station must be monitored at all times by a TABC - certified server.

    No one is allowed behind the bar that is not TABC licensed.
